I. Function of Department

The Office of Student Financial Assistance (OSFA) is responsible for the administration (awarding, processing and disbursement) of Federal Title IV funds and for the processing and disbursement of all CUA Funds (Operating, Endowed and Restricted Gifts), all totaling over $178,000,000 annually, in accordance with federal, state and institutional policies and regulations. 

The Office of Student Financial Assistance is also responsible for counseling students and parents on their options for making a CUA education affordable and for aiding in the university’s recruitment and retention efforts. 

II. Position Summary

The incumbent is responsible for delivery of financial aid related information to prospective and current students and families; primarily focused on all external communication efforts of the office. As the face of the office, the Outreach Coordinator provides excellent customer service and triages students with specific needs and makes referrals to counselors when necessary.

Responsible for the creation, evaluation, and maintenance of an effective financial aid communication plan. He or she ensures that the information provided to students is accurate, of high quality, and in compliance with Federal, State and university policies and regulations.

Coordinates all office communications efforts with students/families; inclusive of phone, e-mail, and in-office traffic and website. Develops and coordinates all office outreach activities. Counsels students/families on the availability and types of financial aid, eligibility, application procedures, the aid delivery process, cost and the requirements necessary to credit student’s accounts in a timely manner. Works with the Office of Student Financial Assistance team to meet objectives and to achieve long-range goals within the (OSFA) budget. Prepares reports and assists with data entry/processing as necessary.

III. Principal Responsibilities

1.

Advises and counsels undergraduate and graduate students/families on the availability and types of financial aid, eligibility, application procedures, the aid delivery process, cost and the requirements necessary to insure that financial aid funds are transferred to student accounts.

Provides excellent customer service via phone, e-mail, and in-person.


3.

 

Answers financial aid questions, inquiries or requests from students, parents, or guardians in person or in writing.


4.

Manages and ensures high quality customer service of the office reception area.


5.

Responsible for sending high quality, accurate and timely mass communications related to the administration of financial aid to students/families.


6.

Leads the review and development of all office communications to students via paper or electronic means, and telephone service coordination.


7.

Reviews existing communications related policies and procedures to assure compliance with relevant regulations and when appropriate proposes recommendations for policy changes and procedural improvements.


8.

Assists with the development of the office webpage, student self-service page, and other web-based and/or social media outreach efforts.


9.

Works with Marketing to insure website is updated annually


10.

Assists in troubleshooting problems with reports of failed notifications and develops plans to resolve issues.


11.

Intercedes for students with other areas of the University (Academic Departments, Admissions, Enrollment Services, Faculty, Career Services, Student Services, Housing).


12.

Interfaces with students, parents, lenders, guarantee agencies and other CUA offices to research and resolve issues.


13.

Assists with other financial aid activities such as reporting, monitoring student statues, and data entry.


14.

Develops and performs audience customized financial aid presentations, including aid overviews, financial literacy, and debt management.


15.

Assists with the training and recruitment of student workers.


16.

Compiles financial aid statistics and management reports related to student communication (phone calls, e-mails, walk-in customers, etc.).


17.
